About Excel

The Excel spreadsheet program lets you manage all types of information, whether for business or personal use. The program can process data from many sources: ranging from mainly numeric tables – such as balance sheets, sales returns and production schedules – to the sort of lists more usually associated with database programs. This book shows you how to handle this information and make the most of Excel’s facilities.

To get Excel up and running
1 Click on the Windows Start button, in the bottom left-hand corner of the screen.
2 Select the All Programs option.
3 Select Microsoft Office from the list.
4 Select Microsoft Office Excel 2003.
The program is loaded and the Excel display will take up most of the screen.
Alternatively, copy the Excel shortcut to the Desktop or a folder on the Desktop, then double-click on the Excel icon.

The title bar tells you the title of the file.

The menu bar has a set of drop-down menus giving access to Excel’s features.

The toolbar is a row of buttons and selection boxes which provide shortcuts to the menu options or quick ways of entering values.

The sheet tabs and tab buttons let you move from one worksheet to another (see pages 78 and 81).

The scroll bars allow fast movement within a sheet.

The status bar displays messages and gives information, such as whether [Num Lock] is switched on.

The task pane lists suggestions for possible actions.

The main grid is where data is entered, and results displayed.

Screen components

Excel runs under all recent versions of Windows, making the most of its mouse and icon based options. However, in common with most modern Windows applications, Excel provides a screen that is extremely cluttered and can be very daunting to the new user. In fact, you may never use many of the options that are presented to you and you will quickly find and master the most useful ones.
The main components of the display are listed briefly here, with fuller descriptions given later.

The worksheet grid

In common with all other spreadsheet programs, Excel is organised around a simple grid system. The grid consists of a rectangular array of rows and columns and is called a worksheet. The columns are labelled with letters: A, B, C and so on; the rows are numbered from 1 down the sheet.
The intersection of each row and column forms a cell. Any item of data entered on the sheet is placed in one of these cells; each cell can hold one and only one item of data.
